How to use Webex

Introduction

• You do not need to create an UTokyo Webex account if you just participate in the meeting.
• Until June 8th 2020 (extension under consideration), you can organize online meetings and classes if you create an account by University’s Google mail (10 digits of common ID number @ g.ecc.u-tokyo.ac.jp, hereinafter referred to as ECCS cloud mail).
• A maximum of 1000 participants can connect simultaneously.
• When you use Webex Meetings and Webex Events at the same time, a maximum 200 participants can connect TV conference systems (i.e., Polycom etc.) However, Webex Meetings and Webex Events is not available for ECCS cloud mail until June 8th 2020. Moreover, TV conference systems have some limitations. Please check in advance what Webex Meetings and Webex Events can be applied for.
• This section describes the features and usage flow of the Web conferencing tool in Webex. In addition, there are sub-pages with specific instructions, so please refer to them as necessary.
• This page basically describes the use of Webex on a PC, but you can also use Webex application on tablets and smartphones.

Webex services

• Webex offers 4 services: Webex Meetings (often used),Webex Training,Webex Events,Webex Support. Each service has strengths and weaknesses.
  • Comparison between Webex services
• Webex Meetings
  • A Maximum of 1000 participants, including 200 participants who connect TV conference systems (i.e., Polycom etc.)
  • Webex Meetings can connect TV conference systems(i.e. Polycom etc.).
  • Webex Meetings is most likely to avail at meetings which communicate among participants interactively.
• Webex Training
  • A Maximum of 1000 participants can connect simultaneously.
  • Like Zoom, organizers can create breakout sessions.
  • Webex Training is most likely to use classes which aimed to create breakout session.
• Webex Events
  • A Maximum of 1000 participants can connect simultaneously.
  • Presenters can connect through TV conference systems.
  • Webex Events is most likely to be used for presentations(e.g., 1 speaker and over 25 participants in audience).
• Webex Support
  • 5 participants for 1 session. You can hold 8 sessions at the same time.
  • Tablets and smartphones are not compatible.
  • Webex Support is most likely to be used for 1 on 1 support sessions.

Before using Webex service

• Organizers
  1. Prepare connection devices such as PC, tablet and smartphone
     • Download Cisco Webex
     • If you can not install the application of Webex Meetings, you can use Webex Meetings web browser instead (Firefox or Google Chrome is preferred), although Some functions are limited.

• Participants

     • Download Cisco Webex.

  1. Obtain meeting room information (URL, etc.) from the organizer using e-mail etc.
  2. Enter the meeting room(details)
     • If organizers do not start the meeting, participants cannot enter the meeting room and may only see information of the meetings.

  • Enter TV system conference You cannot use Webex Meetings based on ECCS cloud mail until June 8th 2020..
    • If organizers do not start the meeting, participants cannot enter the meeting room and TV meeting is shut down.

How to use Webex Training

• Instructors

  3. Start the training(details)
     • Organizers must press "start the training.".

• Participants
