Integrate Calendar with a third-party archiving solution

​Supported edition for this feature: Enterprise Plus with the Assured Controls and Assured Controls Plus add-ons . This feature requires having the Third-party Archiving read/write privileges.

As an administrator, you can set up a third-party solution to archive Google Calendar events and their details as email journal archives. This solution can be useful to:

  • Comply with electronic storage requirements for FINRA and other financial services regulations, including SEC Rule 17a-4. For more information, go to Google Workspace FINRA configuration guide.
  • Continue using a third-party archiving solution for critical recordkeeping, supervision or surveillance, and oversight requirements.

Before you begin

  • Your third-party archiving solution must support that messages are transmitted using an SMTP over Transport Layer Security (TLS) connection. TLS is a security protocol that encrypts email to protect its privacy. If you try to send journal messages to a third-party archiving solution that does not support TLS, the messages will not be delivered.   • Multi-party approval—If multi-party approval is enabled for your organization, any change to the third-party archiving setting, such as disabling the feature or changing the archival address, requires approval by another super admin. For more information, go to Multi-party approval for sensitive actions.

Set up third-party Calendar archiving

Before you begin: If you need to set up a department or team for this setting, go to Add an organizational unit.

  1. Sign in with an administrator account to the Google Admin console.

    If you aren’t using an administrator account, you can’t access the Admin console.

  2. Click Third-party Archiving Settings.
  3. (Optional) To apply the setting to a department or team, at the side, select an organizational unit. Show me how
  4. Check the Archiving enabled box.
  5. For Destination address, enter the email address where you want to send journal messages.
  6. Click Save.

What gets archived?

When you turn on this feature, Calendar will archive the following actions of the users that are in the organizational unit or group where third-party archiving is set up. The data is sent as a standard ICS email attachment.

  • Creating an event
  • Updating an event
  • Deleting an event
  • When an event starts

All types of events are archived, including out of office, work location, focus time, and private events.

The archived data includes all the details of the event, such as the title, description, attendees, date, time, and any other information associated with the event.
