Feedback sobre su propuesta
Querida Carmen, queridas organizadoras:
Muchas gracias por enviar su propuesta para el "2o Congreso WECUDI".
En general, la propuesta es sustancial, y aprecio el esfuerzo que han invertido en su preparación. He consultado a algunos colegas de la WMF y he incorporado sus comentarios en esta respuesta. Gracias a una conversación con Luisina Ferrante, de Wikimedia Argentina, pude comprender mejor el contexto general del formato de la conferencia.
Gracias a Luisina, entendí que la idea general del evento es ser – lo que llamamos en inglés – una "academic outreach conference", fuertemente vinculada con su socio local, la UNAM. Quiero destacar y valorar cómo están trabajando con la UNAM y desarrollando esta importante relación con una de las (si no la más) importantes instituciones educativas de México. Sin embargo, faltan algunos detalles en la propuesta para comprender completamente la idea general del evento. He aprendido a través de colegas que Wikimedia México tiene, de hecho, una estrategia educativa, y supongo que su propuesta de WECUDI eventualmente encaja en esta estrategia. ¿Podrían proporcionar más detalles al respecto? Además, me encantaría entender qué estarán haciendo en preparación para la conferencia y cómo planean involucrar a los participantes antes del evento.
En relación con esto, tenía entendido que el WECUDI en Argentina fue un evento único e independiente. ¿Por qué decidieron organizar una segunda edición de este evento? ¿Cómo están (o estarán) conectados estos dos eventos? ¿Cuál es la estrategia detrás de realizar estos eventos anualmente en la región? ¿Qué aportarán más allá de simplemente proporcionar un espacio para compartir conocimientos, generar redes y fortalecer colaboraciones locales? ¿Esto contribuirá a construir una estrategia educativa para la región latinoamericana? ¿Es esa su intención?
Su propuesta sugiere que el WECUDI es una "conferencia internacional" con perspectivas regionales (latinoamericanas, supongo). ¿Podrían compartir más sobre cómo planean incluir esas perspectivas regionales en su programa? Además, como hemos discutido antes, les aliento firmemente a crear conexiones programáticas entre WECUDI, EduWikiCon y Wikimanía. Sería genial ver al WECUDI como un evento bien conectado e integrado dentro del panorama educativo de Wikimedia. El staff de la Fundación Wikimedia está disponible para apoyar esas conexiones.
Un desafío que identifiqué es asegurar una vía clara para que los participantes puedan trasladar su entusiasmo del evento hacia una participación continua con Wikimedia, ya sea en los proyectos o en las actividades de su capítulo. Sin un plan de seguimiento estructurado, existe el riesgo de que el entusiasmo generado por el evento no se traduzca en un compromiso sostenido con el movimiento. Esto podría resultar en oportunidades perdidas para construir conexiones a largo plazo con los colaboradores y fortalecer su participación en las iniciativas de Wikimedia.
En cuanto al presupuesto, tengo un par de preguntas:
- Me gustaría saber cómo planean asignar las "becas internacionales" (860 USD/vuelo de ida y vuelta). Por favor, proporcionen más detalles sobre desde dónde planean traer a los participantes.
- Además, los becarios financiados por la WMF que viajan internacionalmente suelen estar cubiertos con seguro de salud, por lo que no es necesario presupuestar esto.
- No mencionaron la interpretación simultánea en su propuesta, pero la han presupuestado. ¿Podrían compartir más detalles sobre lo que están planeando?
- Han presupuestado más de 15.000 USD para catering y coffee breaks. ¿Qué cubre esto? ¿Solo coffee breaks y almuerzos, o también cenas?
- ¿Qué implica el "Closing Event"? No hay detalles sobre esto en la propuesta.
- Hay un error en el formulario. La suma total de transporte y alojamiento es de 63.067 USD (no 61.447 USD, ya que falta el transporte terrestre). Esto lleva a una suma total incorrecta. Por favor, ajusten esto.
Como ya comuniqué por email, les recomendaría encarecidamente no organizar el WECUDI en mayo de 2025, sino en septiembre u octubre de 2025, debido a la coincidencia con EduWikiCon y Wikimanía.
Nuevamente, gracias por enviar su propuesta. Por favor, proporcionen más detalles y elaboren sobre los puntos mencionados anteriormente, y vuelvan a presentar su propuesta con estas actualizaciones en Fluxx (la propuesta ya está abierta para su edición). La fecha límite (extendida) para la presentación es el 4 de octubre, tras lo cual será revisada por el Comité de Fondos para Conferencias, y se espera una decisión final entre mediados y finales de octubre.

PS: Ah, algo que olvidé añadir: No pusiste ninguna contingencia en tu presupuesto. Podés agregar hasta un 10% del presupuesto total.

Thank you very much for submitting your proposal for the "2nd WECUDI Congress."
Overall, the proposal is substantial, and I appreciate the effort you’ve invested in preparing it. I’ve consulted with a few WMF colleagues and have incorporated their feedback into this response. Thanks to a conversation with Luisina Ferrante from Wikimedia Argentina, I was able to gain a better understanding of the overall context of the conference format.
Through Luisina, I understood that the overall idea of the event is to be – what we call in English – an "academic outreach conference," strongly connected to your local partner, the UNAM. I’d like to acknowledge and appreciate how you’re working with UNAM and developing this important relationship with one of the (if not the) most important educational institutions in Mexico.
Nevertheless, some details are missing from the proposal to fully understand the overall vision of the event. I’ve learned through colleagues that Wikimedia Mexico indeed has an education strategy, and I assume your WECUDI proposal eventually fits into this. Could you provide more details about this? Additionally, I’d love to understand what you will be doing in preparation for the conference and how you plan to engage participants prior to the event.
Related to that, I understood that WECUDI in Argentina was a single, standalone event. Why did you decide to organize a second edition of this event? How are (or will be) these two events connected? What is the strategy behind holding these events annually in the region? What will they deliver beyond just having a space for knowledge sharing, networking and strengthening local partnerships? Will this help to build an education strategy for the Latin American region? Is that its intention?
Your proposal suggests WECUDI is an "international conference" with regional (Latin American, I assume) perspectives. Could you share more about how you plan to incorporate those regional perspectives into your program? Also, as we have discussed before, I’d strongly encourage you to create programmatic connections between WECUDI, EduWikiCon, and Wikimania. It would be great to see WECUDI as a well-connected and integrated event within Wikimedia’s educational landscape. Wikimedia Foundation staff is available to support such connections.
One challenge I identified is ensuring a clear pathway for your participants to transition their excitement from the event into ongoing involvement with Wikimedia, whether through projects or your chapter’s activities. Without a structured follow-up plan, there’s a risk that the enthusiasm generated by the event may not lead to sustained engagement in the movement. This could result in missed opportunities to build long-term connections with contributors and strengthen their involvement in Wikimedia initiatives.
Budget-wise, I have a couple of questions:
- I’d like to know how you are planning to allocate the "international scholarships" (860 USD/flight). Please provide more details about where you are planning to fly participants in from.
- Additionally, internationally traveling WMF-funded scholarship holders are typically covered with health insurance, so there’s no need to budget for this.
- You didn’t mention simultaneous interpretation in your proposal, but you have budgeted for it. Could you share more details on what you’re planning?
- You have budgeted over 15,000 USD for catering and coffee breaks. What does this cover? Only coffee breaks and lunch, or dinner as well?
- What does the "Closing Event" entail? There are no details on this in the proposal.
- There is an error in the form. The sum of total transportation and accommodation is 63,067 USD (not 61,000 USD, as the ground transportation is missing). This leads to an overall incorrect total sum. Please adjust.
As communicated via email, I would strongly recommend not hosting WECUDI in May 2025, but rather in September or October 2025, because of the overlap with EduWikiCon and Wikimania.

Please provide more details and elaborate on the points mentioned above, and resubmit your proposal with these updates on Fluxx (the proposal is now open for editing). The (extended) deadline for submission is October 4, after which it will be reviewed by the volunteer Conference Fund Committee, with a final decision expected by mid to late October.

PS: Ah, something that I forgot to add: You didn't put any contingency into your budget. You're allowed to add up to 10 percent of the total budget.
