Florida DrupalCamp 2013 Planning Conference call - Wed, 12/5, 4pm EST

The first planning conference call for Florida DrupalCamp 2013 will be held Wednesday, December 5, at 4pm EST.

The call-in number is: (805) 360-1000 - use the access code "183551#". Please note that this is not a toll-free call.

We have yet to secure a venue for the event, but are in the process of doing so. Until we do so, we are unable to confirm the date and location for the event.

This initial call will focus on setting up various "working groups" for the organization of the camp, as well as settings some goals for the next couple of weeks - the most important being the design and launch of the "coming soon" page for the web site.

I think a good goal for the meeting would be to start documenting who is willing to volunteer for what. Things we need to get moving on include:

  • Overall design (web site, emails, badges, signs, t-shirts, etc...)
  • Web site
  • Marketing
  • Venue
  • Registration
  • Sessions
  • After-party
  • Catering

I'm sure there's a few more as well... Those of you that have access to the project tracker (http://groups.drupaleasy.com/fldc2013/), please document as much as you can from the meeting to appropriate notebook pages and cases.

Unfortunately, I will be able to make this initial meeting, so Don Vandemark will be cracking the whip.

I have a dentist appointment on Wednesday afternoon since last week. I will try to make it to the meeting but the dentist appointment and drilling may not finish before the meeting ends. But I would like to help out and will keep informed of what happens tomorrow.

Unfortunately, I won't be able to make this week's call - I have a previously schedule doctor's appointment with my son.

Anyway, I've spoken with Don V. about this, and I think, at the very least, the following topics should be covered:

  1. Venue and date - still no definitive word from Full Sail. They keep asking follow-up questions, but are unable to provide us with either confirmation or a date for which we'll know by. I still think things will work out, but we'll need to know soon.
  2. Web site - I've cloned the Atlanta DrupalCamp web site uploaded it to Pantheon. It's in a Git repo and ready to be worked on. In my mind, there are three major tasks ahead: temporary splash page, content update, and new theme. I would be ideal if we could identify the volunteers who are willing to take on these tasks (I'll be among the volunteers). I've granted access to those who have requested it, and I'm happy to grant more people access as required.
  3. Overall design - we need to make sure the design of the site, printed materials, t-shirts, signs, etc... are all consistent. Ideally, we should have 2-3 volunteers leading this charge.
  4. Other volunteer assignments - I know that there are a lot of people willing to help with this camp. We need to utilize the Open Atrium instance (http://groups.drupaleasy.com/fldc2013/) to get things organized. It would be great if we could create a notebook page where we identify who wants to work on what.

For some of the more time-consuming tasks (web site first-and-formost), perhaps we should set up a separate weekly call and/or sprint hours? This will help push us forward and add some personal accountability (I'm pointing the finger at myself first).
