There was some discussion at yesterday's meetup about when the next DrupalCamp should be.

Add your vote, and any recommendations of dates to avoid or aim for. But more importantly, say if you're willing to help lead the organization of this, or help out in any way.

I'll post the checklist we used last time so we can all mark off what our orgs might be able to cover.

I think that there is also a little money left from the last drupalcamp. We were intending to send any extra $ to the drupal association, but I never found the time to figure out exactly how much was left. I'll do that next week and let everyone know. It's probably about 100ドル or so.

I hate to bring this debate back, but should we use this drupal group this time to organize the event? or should we go back to the barcamp wiki?

I'd prefer for us to try to do it here this time.

Well, I signed up for the email list and no post has appeared yet, not sure it is working.
Whatever way is fine with me, but I do think we should have a separate way of communicating so we dont flood the nyc list.

check your spam filtering, maybe your system thought it was spam?

I've already passed on a request for space to Polytech and am waiting for word back on what might be available.

Maybe we can wait to see what's up with that before we look for alt spaces?

my question above about "where" is not about the space for the event but the digital space for signup and information. here? barcamp wiki? anyone have any preference?

Rob, I'm in Harrisburg, Pennsylvania, about three hours away by train. I go to Brooklyn a few times a year, with Advomatic's "home office" being there, and a good friend who lives there. I definitely plan to be at the next camp, having missed out on the last couple (because of moving from CT last year and getting settled in).

And I'd be happy to help (or maybe even lead) an intro session. I have an idea for a new way to do this based on how it was done last time and to extend on that. Basically advertise the intro session as two parts. Part 1 is an hour just to have everyone who brings their computers load up XAMP, MAMP or whatever, + downloads all modules that will be used in the presentation.

Then the intro session proper starts after that. That way you don't waste anyone's time who already is set up. And those who have problems getting an environment set up can get some one-on-one help. Finally, if anyone just can't get XAMP or MAMP to run then they can sit with someone and at least will not spend the whole intro session frustrated trying to "catch up".

It looks like the popular vote so far is for August. It's going to be pretty hard to get everything organized at such short notice though, so we'd really need people to step up and volunteer to do specific organizational things, especially sorting out sponsorship. Should we make some initial inquiries with Brooklyn Polytechnic to see if space is even available?

Poly has been a key part of all the nyc drupal camps, providing us with the space for free has enabled us to keep the event free. If they have the space and can help again that would be great. However, last time we also had an offer for free space from some folks at the UN (which has adopted drupal for much of their web work). I think jacob has their contact info.

I will email Hans at poly and ask what weekends might be available.

Well, August may work but Poly has thesis at this time so they mght be really bogged down.
I was at the meeting, I was the one who organized the 1st Drupal camp in NYC... so I am happy to help and get it together again.
Maybe we should start an email list with those who want to help.
Right now we need help with sponsorships as well as getting a proposal together for the sponsoring companies. What was offered to them last year? What did they sponsor?

for the last drupal camp nyc we used a mailing list for the conversations that were not really appropriate for posting to the drupal group or wiki. that list still exists. let's use it again?

I'm very interested in DrupalCampNYC (this would be my first) and can help organize from across the River in NJ. I may not have the local relationships or have 'feet on the street', but I can do whatever you need via phone/email/etc.

As for my personal preference on the timing of DrupalCamp, weekends in August and September are mostly clear. I just need a tad of lead time to work the childcare thing.

Looks like September is a bit more popular than August. Makes sense, considering the lead required to get a venue, and Drupalcon.

I'm making an announcement for it in the Drupal Newsletter, which will go out tonight or tomorrow. I'm stating that it's tentatively in September (unless someone knows something more).

October is less favorable for me. My 10th Anniversary is mid month and we are planning a week-long getaway. I'm a newbie to DrupalCamp, but really want to be there. My wife comes first, though!!

Some of us have school during September and October, and would much prefer July or August. So please don't present your case for September/October as though it's the only solution that makes sense. There are better and worse times for everyone; that doesn't necessarily mean that one is better than the other, and the votes are tied at the moment. :P

School is something to consider for some, just as work is for others. I was more concerned about the lead time, both to get a venue, and for people to make plans. The last DrupalCampNYC I attended was last year, where there were over 100 attendees, including some (such as myself) traveling several hours to get there and needing to arrange room & board.

I'm just pointing out there are a lot of logistics involved for an event of this scope, that require some advanced warning so that everyone can adequately plan for it. Additionally, because I suspect the large majority of attendees may need to take off time from work, unless it's on a weekend, it might be wise to see if there are any scheduling conflicts with other large events they might be planning to attend (such as a Drupalcon) which might impact their ability to do so.

Of course, that's the intention of a poll such as this, which can give an fair guess as to what will work for the largest number of people. Although another voting method may have been better suited, for instance to allow people to choose 1st & 2nd choices.

In any case, I'll just remove the date entirely from the newsletter announcement, and just tell interested folks to visit this group for more accurate information as it's available.

There are only 15 days left in July and just 2 weekends counting the one starting the day after tomorrow which is also HOPE.

Just saying.

But also, have you considered what is involved in planning & putting together such an event...?

I'm not sure August at this point would be realistic, I surmise we shall see.

I definitely want to make it to this event but I will be in school starting September as well. After reading the thread it is apparent that everyone has a lot of commitments throughout the waning summer months, I feel it would be easiest to have it on a weekend. If it is a two day event on a weekend then the majority of school/work conflicts should be solved. Few have Saturday classes and most work Mon-Fri so the weekend would be prime.

After giving folks some time to comment on this post, and discussion on the drupal camp organizers list (which is open to all), I had contacted Polytech U and asked for use of the space at the end of August.

After that, it became clear from what people were saying, that august was just not going to work out. The folks that were going to take the lead on organizing would not be able to do so on such short notice.

So, after getting the space from Polytech, I had to cancel the reservation. They are now researching some September dates. Once I hear back from them I'll post here and pass it on, as usual, to the mailing list.

In the time since I asked poly for the aug date till now, the vote has changed and september seems to be the decision of the group. So september it is.
