The aim of administrative activities is to ensure operational effectiveness and good infrastructure of the organisation. This includes ensuring financial sustainability of the organisation.
Activities that are part of administrative activities align with following strategical goals:
- quotidian healthy operating of the organization,
- motivated and competent action of employees and volunteers,
- representation of the organisation on local and international level.
1. General administrative activities
1.1. Quotidian operation of the organisation
This area includes all activities that are related to quotidian operation of the organisation, from correspondence to bank transactions. These activities are in general performed by employees and voluntary board. Other volunteers are involved when needed.
1.2. Rent and maintenance of the office
Since April 2014 Wikimedia Eesti Wikimedia Eesti rents an office in the city center of Tartu and this activity will be continued in year 2015. Availability of an office enables the organisation to better coordinate activities of the organisation and also ensures proper storing of property and documentation of the organisation.

1.4. Bookkeeping
Since year 2012 Wikimedia Eesti pays for bookkeeping service in order to ensure better organisation of documentation of and financial information of the organisation. So far the use of bookkeeping service has justified itself and bookkeeping is in conformity of Estonian good practice.
2.1. Managing employees
Wikimedia Eesti has two administrative employees, namely full-time executive director and part-time assistant. The board of Wikimedia Eesti deals with their management and training. For the financial year 2015 two longer period positions of trainers related to environmental awareness is foreseen. Executive director will be engaged with management of these employees.
2.2. Involving and motivating volunteers
One measure of Wikimedia Eesti in achieving its goals is to increase the number of volunteers, i.e. number of non-payed active members of the organisation. To achieve this goal the executive director of the organisation with the support of the assistant and the board will execute a recruitment and hopefully with a larger number of active members management of projects and programs will be facilitated and more important role of the organisation in the society will be ensured. In order to guarantee the effectivity of voluntary action several training and motivation events will be organised.
2.3. Training
Wikimedia Eesti ensures the competence of its employees and volunteers with different training activities. Volunteer active members will be supported with internal training and for employees and board members a possibility of external training exists.
3. Representation of the organisation
3.1. Local representation
As an introducer and promoter of free culture it is important for Wikimedia Eesti to be represented in more important local discussions relatd to free culture. In addition Wikimedia Eesti organises itself round tables and discussions directly related to our projects and programmes.
3.2. International representation
As a member of international network and community Wikimedia Eesti participates actively in international discussions and is represented on international events of Wikimedia movement. The aim of such activity is to share experience and learn from experience of others. It also makes possible initiating and coordinating international cooperation.
