Capacity Exchange/User Guide

Welcome to the Capacity Exchange User Guide. Here, you'll find detailed instructions on how to log in, manage your profile, and make the most of your experience on the platform.

How to Log In

To join the Capacity Exchange, you must have a Wikimedia User Account and allow the Unified Login.

  1. Go to the landing page at capx.toolforge.org.
  2. Click Sign In or Join the Capacity Exchange!.
  3. You will be directed to the OAuth page. Please review the Wikimedia Privacy Policy and allow the unified login.
  4. You will be directed to your Profile page at capx.toolforge.org/profile, where you can edit your Profile.

How to Edit My Profile

  1. On your profile page, click Edit Profile.
  2. Fill out the information you consider important or feel comfortable sharing.
  3. Keep in mind that all fields are optional.

Some fields allow option selection (Selection Fields) and written inputs (Text Fields), others provide a searchable drop-down list (Tag Search Fields). Here are all available fields:

Selection Fields

Fields where you choose a single option from a drop-down list.

Pronouns

Displaying your preferred pronouns allows other users to address you correctly and provides vital demographic information for the platform. The available options are:

Select "Not Specified" if you prefer not to display this information.

Select "Other" if none of the options apply to you. In this case, you can suggest your preferred pronouns via the Report App.

Text Fields

Fields where you input text in various formats.

Profile Picture

Privacy warning Link or select a picture of you (or choose an avatar) from Special:MyLanguage/Wikimedia Commons.

Accepted Format: Search a photo or type "File:Filename"

Suggested format: Square photos (1:1).

Short Bio

The Short Bio section allows you to share essential information about your cultural background and your work as a Wikimedian.

Tips for writing an effective short bio:

  • Keep it short, up to 500 characters.
  • Highlight your current activity or interest in the Wikimedia Movement.
  • Mention experiences relevant to the capacity you want to share or learn.
  • Do not include Language, Territory, or Affiliation as there are specific fields for these.
  • Avoid mentioning the capacities you are sharing or seeking, and tag those in the proper fields.

Staff member of Wiki Loves Capacity Exchange, ahead of perfecting the Capacity Directory. Enthusiast of Let’s Connect Peer Learning Program, Volunteer Supporters Network, and Wiki Learn.

Team

Allows you to display, if applicable, professional association with a staff team or working group within the Wikimedia Movement or partner organization. This is especially relevant if linked to the known, available, and wanted Capacities displayed in your profile.

Suggested Format: Staff Team

Wikidata Item

Privacy warning Link your profile to the structured data about you in Special:MyLanguage/Wikidata. In the future, we plan to enable users to migrate information from Wikidata to CapX.

Accepted Format: Q125816201

Alternative Wikimedia Account

Privacy warning Use this field if you have different accounts for your professional and voluntary activities, already publicly linked. If you have more than one Wikimedia account, it is preferable to create a single CapX profile to avoid duplication.

Accepted Format: Username

Contact

Privacy warning Input your preferable contact methods.

Accepted Format: Channel Name | Channel Link (e.g., E-mail | user(_AT_)email.org)

Tag Search Fields

Fields where you can choose multiple tags from a searchable drop-down list. Tags are essential components of the CapX.

Territory

Display the regions and countries you work in, are based in, or are native to. If your territory is not yet listed, please submit a request on the Report App.

Language

Display the languages you speak. If your language is not yet listed, please submit a request on the Report App.

Affiliation

Display the organization you are part of. Select from the list. If you are part of an informal or partner group not yet listed, please submit a request on the Report App.

Wikimedia Project

Display the Wikimedia project you are active on. Select from the list. If your project is not yet listed, please submit a request on the Report App.

Known Capacities

Tag known capacities from the Capacity Directory that you can share with other peers.

If applicable, tag available capacities from the Capacity Directory that you can provide to peers as a service.

Wanted Capacities

Tag wanted capacities from the Capacity Directory that you are looking for.

Avoid Sharing Sensitive Information

When filling out your profile on the Capacity Exchange platform, it is crucial to be mindful of the information you share. This is especially important if you want to keep your user account and personal identities separated. In this case, be cautious while filling out the Profile fields marked with a privacy warning ( ).
