General guidelines for next PrāvConf #86

I think we can make some guidelines from what we learned this year for next year.

  1. Minimum funds if we get no sponsors. Raise food from tickets, which can go to prav funds if we get sponsors. Free food coupons / tickets to volunteers. Bursary team to handle contributors.
  2. Food bursary minimum, partial bursary if we get some sponsors, full bursary if we get many sponsors.
  3. 10 free tickets to prav users like this time.
  4. Free tickets to host institute, if enough sponsors, then free tickets to nearby foss clubs or user groups.
  5. Goodies based on sponsorships.

just texting an idea for next conf - there was a tech fest in STIST and many of the event organisers decided to make the tickets paid and refund the money to participants. So in theory it's a free event, but only for participants who arrived. I'm not sure how that would work with Prav but just sharing it here.

I think next year we should make multiple teams and groups for organizing - sponsorship, goodies, proposals, design etc

I thought about that mentioned idea too. Even DebConf bursaries work the same way: first you spend the money, then you get the refund later. That way there is some commitment.

Also, we won't have to worry about multiple lists, etc.

We should also consider speakers here. I think speakers should be the next priority after volunteers. We should make sure they have something special above regular attendees (can be just free ticket for no-sponsor events; for sponsored events if we are giving free tickets we can give them some extra gift; if we have enough sponsors then we can also offer them bursaries)

Print standees few days before so we can use it for publicity at college. Place it at college entrance if we get permission.

When asking people for their dietary preferences, include a vegan option.

Let's try to have healthier snacks (less refined flour, less fried stuff), and not use disposable vessels/packaging for food.

If we are staying in shared accommodation, we should leave some time to just hang out there as a lot of Prav related stuff happens at such times too, but we have to cut it short if we are too sleepy and need to get ready for the next morning

Next time, in addition to generic stickers, we should have a sticker for the conference itself (i.e. PravConf 2027) so that people can use it to show/remember they attended the conference

We should think of outreach beyond FOSS/tech circles. If the host college has a media club, we can invite them to cover PravConf and release a video edited using Free Software such as Kdenlive
